Confidential Executive Assistant to the President

A respected organization in the higher education sector is seeking a highly professional and detail-oriented Confidential Executive Assistant to support executive leadership in a fast-paced environment. This temporary opportunity is ideal for an experienced administrative professional who excels in executive coordination, confidential communications, and office operations. Your Tasks

Executive Support

  • Manage executive calendars, appointments, and itineraries
  • Coordinate meetings, prepare agendas, and assemble briefing materials
  • Anticipate executive needs and support daily operations efficiently
  • Arrange travel logistics and monitor follow-up action items

Office Operations & Administration

  • Support the day-to-day operations of the President’s Office
  • Greet visitors and direct incoming inquiries professionally
  • Answer and screen incoming calls and correspondence
  • Maintain office records, files, systems, and supplies
  • Assist with improving workflow and office organization

Communication & Correspondence

  • Draft confidential correspondence, reports, memos, and executive communications
  • Respond to emails and phone inquiries with professionalism and discretion
  • Ensure all communications reflect executive and institutional standards

Meetings, Events & Coordination

  • Coordinate logistics for executive meetings and events
  • Arrange room reservations, catering, parking, and technology support
  • Prepare agendas, materials, and meeting documentation
  • Support institutional and executive special events
  • Track meeting minutes, follow-ups, and action items

Financial & Administrative Support

  • Process invoices and payments
  • Reconcile expenses and credit card statements
  • Ensure required documentation is completed accurately

Cross-Functional Support

  • Serve as a liaison between executive leadership, departments, and external stakeholders
  • Provide administrative support to additional departments as needed
  • Assist with special projects and institutional initiatives

Our requirements
  • Bachelor’s degree required
  • Minimum of 5 years of progressively responsible administrative experience
  • Prior executive-level support experience preferred
  • Experience in higher education or complex organizations preferred
  • Excellent written and verbal communication skills
  • Strong organizational and multitasking abilities
  • Exceptional attention to detail and time management skills
  • Ability to maintain strict confidentiality and exercise sound judgment
  • Proficiency in Microsoft Office Suite and virtual meeting platforms
  • Ability to work independently with minimal supervision
  • Professional demeanor with strong interpersonal skills
