Administrative Assistant

Jennifer Temps is seeking a detail-oriented Administrative Assistant for a Syracuse, NY assignment. This position requires strong organizational skills, proficiency in Microsoft Office applications, and the ability to manage multiple administrative and financial tasks in a structured office environment.


Your Tasks

Key Responsibilities

  • Use Microsoft Outlook, Teams, Word, and Excel daily
  • Utilize Zoom and Microsoft Teams for virtual service delivery
  • Manage multiple tasks while meeting required deadlines
  • Monitor vendor accounts and process payments and cancellations
  • Maintain and update daily and weekly payment logs and spreadsheets
  • Perform data entry and electronic record management
  • Handle physical file folders (lifting and filing)
  • Provide reception coverage (answering and transferring calls)
  • Process incoming and outgoing mail
  • Scan, fax, and email documentation
  • Correspond with vendors and respond to inquiries
  • Learn and utilize computer systems specific to ACCES-VR

Our requirements

Minimum Qualifications

  • High School Diploma or equivalent required
  • Minimum 2 years administrative experience
  • Strong proficiency in Microsoft Outlook, Word, Excel, and Teams
  • Experience managing spreadsheets and payment logs
  • Experience processing vendor payments
  • Ability to meet strict deadlines and prioritize workload
  • Strong communication and customer service skills
  • Ability to lift and file physical folders
  • Must comply with background screening requirements

Preferred Qualifications

  • Experience working in a state or public-sector office
  • Familiarity with ACCES-VR systems
  • Experience handling vendor accounts
