Staffing Coordinator - Nursing Department

Your Tasks

Key Responsibilities

  • Build and maintain daily, weekly, and monthly nursing schedules
  • Track callouts, identify shortages, and secure coverage across RN, LPN, and CNA roles
  • Maintain staffing logs, vacancy lists, overtime records, and agency use tracking
  • Update and analyze Excel spreadsheets using formulas, filtering, sorting, and reporting tools
  • Communicate staffing changes to supervisors in real time
  • Support regulatory readiness (F725, F726) through accurate documentation
  • Monitor and report staffing levels to DON/ADON and HR
  • Maintain education, in-service, and annual evaluation tracking documents
  • Coordinate interview scheduling and related communication for nursing leadership
  • Escalate coverage problems appropriately following chain of command
  • Collaborate with Medical Records on proper safeguarding and filing of incident reports
  • Support DON/ADON in emerging priorities and urgent scheduling needs

Our requirements

Qualifications

  • Experience in staffing or scheduling strongly preferred (healthcare or unionized environment ideal)
  • Intermediate to advanced Excel skills (SUM, COUNT, IF, filtering, pivots a plus)
  • Strong written/verbal communication skills
  • Ability to multitask and work under pressure
  • Knowledge of nursing staffing requirements or willingness to learn
  • Experience with SmartLinx, Kronos, or scheduling software – a plus
